Donna Sells New Homes ... and she
does it well ... She wants to do it better.
Donna works for a new home builder,
dedicated to their existing paper system. In short, not only
was she on her own in modernizing her sales operation;
whatever she did had to mate exactly into the existing paper
system and business practices of the parent
company.
What was done
A program was constructed that
:
- Duplicates and cleans up the
existing agreement, schedules ( 21 of them ), change
orders, amendments, mutual release and waiver
forms
- Keeps a complete library of
house model statistics
- Provides both photograph and
floor plan libraries
- Provides a contact library of
purchasers and lawyers which is used for the "One Click"
entry into any agreement
- Provides a step by step
agreement creation process
- Provides a step by step
amendment creation process
- Allows an unlimited number
change order items per request
- Allows an unlimited number of
change orders to be completed
- Allows an unlimited number of
amendments to be created
- Provides extensive
administration capabilities, allowing the capture of
execution dates for all documents
- Captures all subsequent changes
to the original agreement and displays the current status
of the contract values at all times
- Allows any agreement to be
followed from inception to closing
- Provides facilities to edit the
agreement forms from time to time without disturbing the
agreements already written (Editable Forms)
- Allows the actual amendment of
forms in a particular agreement (Live Forms)
- Prevents forms that have been
fully executed from being further altered (Secure
Forms)
- Provides extensive search
facilities so that market research on the purchasing
habits of customers can be conducted
- Provides networked performance
for a three person sales office
- Provides a remote version of
the program so that the program can be used in a
satellite office
- Provides for synchronization
between the networked and remote programs
- Follows the parent company's
business rules
- Is useable by people with
minimal computer knowledge
The Result
At last check, there are over 700
agreements and all of the ancillary amendments and change
orders generated by the main program. There has also been
deployed a remote version of the program for servicing a
second site.
Time savings have been obtained
with the auto entering of most key information into forms,
leaving more time for selling. This is also resulting in
greater accuracy.
The forms look great.
The search facilities have allowed
the creation of data lists for appraisers instantly,
eliminating sales down time.
The networking ability of the
program has allowed the whole sales team to work as a team,
without getting in each other's way.
In general:
- The quality of the documents
produced has improved
- The time to create documents
has decreased
- The ability to monitor the
current status of a deal has become instant
- Efficiency has
increased
- The professional image of this
sales team has been greatly enhanced
A job that was being very well
done, is now being done that much better.
Followup
This program is now being used by both independent sales
offices for this home builder, at the insistence of the
builder. The second office had no need for networking so the
program was deployed using a run time engine to reduce costs
to the sales person.
The original copy of the program now has well in excess
of two thousand deals ... and counting.
The Home Builder's sales documentation is now consistent
through both sales offices.
